We are seeking a highly organized self-starter to provide administrative support for the Shipboard Systems Group within the Force Projection Sector of the Johns Hopkins University Applied Physics Laboratory. You'll be part of a committed team supporting our Nation's Strategic Weapons Systems and play an active role in team communications and knowledge management.

As a Group Office Administrator, you will...

  • Fill the role of group expert on APL Practices and Procedures to keep the group and staff coordinated.
  • Proactively seek opportunities to improve the group's efficiency and productivity by identifying and implementing new/improved administrative procedures.
  • Participate in hiring/onboarding/offboarding staff through materials management as well as coordinating arrival/departure activities.
  • Coordinate the preparation, review, editing, updating, publishing, distributing, and archiving of classified and unclassified technical memoranda, reports, letters and presentations authored by group staff. This will include organizing and maintaining electronic office files and logs, as well as performing proof-reading and quality assurance checks on documents.
  • Purchase and manage supplies, property, and equipment for group and group adjacent technical projects.
  • Organize and manage group shared folders and files.
  • Assist in classified data transfers and serve as knowledge base for classified policies and procedures.
  • Coordinate and confirm travel arrangements for group staff, including sending and confirming security clearances in support of meetings at sponsor locations.
  • Process travel expense reports and reimbursements in accordance with APL's Travel policies and coordinate between staff and Travel Accounting office.
  • Serve as the group property coordinator and maintain entries in PEMS (Property Equipment Management System). Support Department property management processes and respond to requests for asset information/status. Maintain group property spreadsheet to assist tracking of capital and non-capital assets.
  • Coordinate cleaning, painting, outfitting, and access to all group offices and work areas, including maintenance requests, network port activation, and staff office moves.
  • Handle incoming/outgoing mail and shipments.
  • Contribute to group morale by planning and supporting special events.
  • Assist staff with the organization and scheduling of meetings for both internal and external attendees, including meeting logistics support.
  • Assist in prioritizing and deconflicting conference room reservations.

Qualifications

You'll meet our minimum qualifications for the job if you...

  • Have a High School diploma or equivalent with a minimum of three years of relevant office administrative experience
  • Have exceptionally strong communication skills, both written and verbal, as well as strong interpersonal skills to communicate and work well with others
  • Are familiar with, or can rapidly learn, management of sensitive personnel information and classified documents.
  • Can work independently, have good time management skills, and the ability to manage multiple simultaneous requests and prioritize appropriately.
  • Are able to edit and format technical documentation, including recognizing and correcting grammar, spelling, punctuation, and logical organization errors.
  • Have the ability and willingness to multitask and solve complex administrative problems while paying attention to detail.
  • Are proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro and are eager to learn new software programs.
  • Have initiative, interest in skill development, and the flexibility to accept assignments of varied scope and skill.
  • Are able to obtain an Interim Secret security clearance by your start date and can ultimately obtain a Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You'll go above and beyond our minimum requirements if you...

  • Have an Associate's or higher degree.
  • Have previous administrative experience within APL and are familiar with APL Practices and Procedures, including Travel, Purchasing, and Security.
  • Have familiarity with APL staff, sponsors, and programs.
  • Have experience with web- or cloud-based knowledge management systems such as Confluence or Box.
  • Hold an active final Secret or higher security clearance.
