POSITION SUMMARY

The Senior Manager Donor Engagement manages all aspects of member and individual fundraising efforts to substantially increase participation and meet revenue goals of the annual giving campaign on behalf of the APA Foundation (APAF). This includes the full donor experience from segment definition to content creation , donation tracking and reporting, and post donation acknowledgement. The Senior Manager Donor Engagement is the primary Salesforce administrator for APAF and will transform the Foundations use of Salesforce in order to deliver timely and robust reporting, while increasing the efficiency of the Foundations operations and enabling data driven decision making. This includes responsibility for managing and enhancing the donor engagement system, maintaining the integrity of donor and partner data and identifying and implementing new functionality and tools to improve APAF's use of Salesforce. The Senior Manager Donor Engagement will deliver timely and robust reporting, including impact reporting, and donor honor rolls. This position also manages all aspects of Fundraising related to conferences and represents the APAF at external events. Using this input as well as other data sources makes targeting recommendations for the APAF. Additionally, this position will be the project manager for the APAF's new Play initiative managing all aspects of programming and deliverables from a broad set of stakeholders including marketing, communications, development, programming and production. The Senior Manager Donor Engagement also contributes as needed to public education program activities with key partners in the Judges and Psychiatrists Leadership Initiative, Notice Talk Act at School, Center for Workplace Mental Health and other APAF programs.

DUTIES & RESPONSIBILITIES

  • Individual and Member Donor Fundraising
    • Responsible for the entire individual and member donor experience and delivering against assigned revenue target
      • Develop and plan annual campaign to include learning objectives and test plan
      • Segment donors (givers, lapsed, new and prospects) and personalize the content and messaging by segment
      • Tailor messaging by channel and work with APA marketing team to improve members awareness of the Foundation and opportunities to give
      • Ensuring timely review and approval of marketing requests and materials provided by communications and marketing team members
      • Oversee and manage calendar of donor solicitations with designated communications and marketing team members to ensure the proper list pulls with on time donor solicitations
      • Ensure timely and personalized follow-up with donors
      • Measure campaign effectiveness and make recommendations as needed for improvement

  • Own and Manage APAFs Donor Engagement System
    • Operates as the APAF expert and custodian of APAF's Salesforce NPSP CRM including:
      • Transform use of Salesforce into a robust Donor Engagement tracking system that enables segmentation, propensity scoring, etc. in order to modernize and enhance the donor experience and revenue opportunity
      • Identify ways that the Foundation can better harness the power of Salesforce to gain efficiency in development activities (i.e., use Salesforce as a central repository for the tracking and reporting of grant proposals, grant renewals, contract renewals) that can be accessed by all APAF Staff
      • Manage donations through Salesforce, provide tax-deductible receipts to donors
      • Data and analytics of donor campaign performance
      • Develop and maintain timely Salesforce reports, update individual and corporate donor profiles, track grant processes, build flow automation processes, and upload data, in collaboration with Salesforce support and APA IT department
      • Develop prospect pipeline, recording and reporting mechanisms
      • Transform, develop, and implement the gift acknowledgment process that ensures all donors receive appropriate recognition for their tax-deductible contribution and follows up appropriately to steward donor relationship

  • Grant Management Support
      • Drive APAF efficiency by developing and implementing a repository for grant responses that can be repurposed for future grant opportunities
      • Supporting the Program Teams with grant management to include impact reporting, overseeing, and managing grants calendar, and instituting Salesforce grants workflow to ensure timely submission of reports

  • Other Salesforce Management
      • Manage Salesforce integrations, i.e., Give Lively/Stripe, Eventbrite, etc. and identify new integration opportunities.
      • Provide support to Associate Director, Corporate and Foundation Relations for Corporate Advisory Council dues payments, meetings, and activities.
      • Reach target goals for Annual Fund contributions through fundraising campaigns as assigned.
  • Business Development and Fundraising Support
    • Manage online presence of APAF on Guidestar, Charity Navigator, , etc.
    • Oversee creation of all sponsor signage both digitally and printed for annual event and impact tours
    • Review and revise website and marketing material content for targeted fundraising campaigns
    • Update and publish Honor Roll on website, printed in Psych News and Annual Report, and displayed at APA meetings
    • Using several data sources (i.e., 10K reports, Foundations) create target recommendations and segmented donor lists and update as needed

  • Represent the APAF through fundraising activities at APA meetings, partner events, and other external activities
    • Point person on Development Team for all activities associated with APA internally facing member events (i.e., September Components Meeting and Mental Health Services Conference) to include, planning, booth presentation, materials, and staffing
    • Support Benefit planning and logistics, to include ticket sales, venue set-up, communications and marketing materials, event program and on-site check-in
    • Oversee ticketing and RSVP platform for development and program activities

  • Play Pillar (2 events per year)
    • Project manager for all play programming
    • Develop project/event plans, clearly identify and assign project deliverables with corresponding timing
    • Ensure clear communication across team via the scheduling and facilitation of regular meetings/ emails
    • Ensure cross-functional collaboration for inter team dependencies, identify potential project risks and surface deliverable risks with recommended solution
    • Provides weekly status updates including what's on / off track
    • Identifies and recommends potential funders

  • Other Duties As Assigned

Responsible for donor engagement through telling the Foundation's brand story, by segmenting the audience, to the end of driving donations and revenue for the Foundation.

  • Performs tasks that significantly impact department and require the ability to gather, organize, verify, compose, and/or analyze established concepts, to complete several multistep functions
  • Responsible for specific daily activities to ensure the acquisition and engagement of donors, development fundraising events and Where We Play events.
  • Demonstrates proficiency in the use of specialized skills and techniques including CRM best practices using Salesforce and direct digital marketing.

In addition to soliciting APA member donors and prospects, will actively devise a plan to secure donors outside of the APA Foundation.

Responsible for the execution of the Foundations Donor Engagement Strategy which includes working with APA marketing and the APAF communications team to raise awareness, segment donors and prospects and develop compelling solicitation materials.

  • Relationships span levels internally and externally and center on collaborative work efforts
  • Has periodic contact with outside partners and organizations
  • Has extensive contact with management, staff, and colleagues across departments (communications, marketing, IT, etc) to identify, learn, explain, and report on key issues, trends, and challenges as they pertain to donor engagement and fundraising activities
  • Uses diplomatic skills to obtain trust, cooperation, and understanding in order to resolve more complex problems across departments
  • May represent the organization at fundraising events, the annual APAF Benefit and other events and meetings as assigned with guidance from supervisor

Qualifications

REQUIRED SKILLS, EXPERIENCE, AND QUALIFICATIONS

  • College degree with fundraising / marketing experience
  • 5 years marketing and fundraising or business development experience, preferably in a Foundation/Association.
  • Expertise with Salesforce database design, development, and management; Salesforce Administrator Certificate or at least 2 years' experience with CRM system preferred
  • Strong analytical skills with an ability to glean the insights from data and make recommendations.
  • Strong professional written and verbal communication and interpersonal skills. Position will interact with staff at all levels within and outside of APAF.
  • Excellent organizational skills and the ability to coordinate multiple tasks. simultaneously and able to rigorously follow-up on task and responsibilities.
  • Expertise with Windows based operating systems, network and software applications required.
  • Expertise with Microsoft Excel, MS Word, PowerPoint, Adobe Acrobat Pro, Adobe Connect
  • Ability to work independently with minimal supervision while prioritizing a varied workload.
